Property Administrator, Vancouver, BC
Our client in the Property Management and Development industry is looking for an Property Administrator for their busy organization in the heart of Downtown, Vancouver, BC. As Property Administrator its an integral role of the organization, it is a fast paced, high volume environment so attention to detail and being organized is key if you want to be successful.
Property Administrator, Duties:
Assists in the development of the building operating budgets, prepares year end reconciliations for commercial tenants, reviews and analyses revenue and operating costs to ensure compliance with lease agreements
Maintains properties and tenant profiles and leasing information and prepares monthly rent roll and cash receipt journal entries in Timberline
Processes quotations, purchase orders, invoicing and billings for all rental properties
Manages expenditures to ensure they are properly authorized, coded and are within budgets
Sends notices of late payments, arrears, NSF cheques and reminders of payments due
Prepares credit applications to vendors
Liaises with tenants, suppliers, building managers and other property management companies
Manages key copies for each property, and maintains system to track keys and fobs and facilitates billing of their deposits
Assists with the process of relocation of tenants for development projects from establishing tenant/lease information, drafting various documents and correspondence, liaising with relocation consultants, to preparing the final payment to tenants, and coordinating tenants� move out schedules with site staff
Assists in the preparation of various leasing documents including offer to lease, lease agreements amendments and renewals
Conducts credit investigations and reference checks of prospective tenants
Assists with lease analysis as part of due diligence process for potential acquisitions, managing purchase and sales agreements and updates related database
Assists in liaising with marketing companies with respect to various sales matters in the closing of purchase and sales of properties
Covering Reception and any admin duties
Additional administration duties as asked
Property Administrator, Requirements:
2-3 years experience in commercial property management support
Experience using clinic billing software would be an asset
Excellent spoken and written English language skills
Advanced skills working with MS Office Suite
Ability to prioritize with strong problem-solving skills
Exceptional customer service skills, over the phone and in person
Experience working in a medical office would be considered an asset
