Scope of the Position 

Provides strong support, guidance and leadership to a team of staff handling a variety of specialized tasks/functions. Ensures all services performed for our internal and external clients are not only accurate and timely, but most importantly, of the highest quality; in a manner that is consistent with Computershare’s Strategy Framework. Supports management on the development of current and future plans; aligning with meeting/exceeding Corporate goals and objectives.

 Major Responsibilities 

 

Supervise and direct the day-to-day activities of a team of staff including delegating work, ensuring the accuracy and completeness of the work, coaching, motivating, attendance tracking and team building.Ensure established guidelines are being followed to ensure that company and industry requirements are consistently being met.The position requires co-ordination of activities, information, material and/or resource availability to meet multiple and competing demands on time and effort. Actions take into account volumes, urgency, deadlines and priorities.  Must write or modify text to accurately communicate information to others with some need for written explanation or description.Must use mathematical, financial or statistical methods to analyze and interpret basic data or information.The position requires redesigning, restructuring, modifying or enhancing techniques, services or procedures that will affect many clients.Ensure all complaints and compliance related issues are handled expeditiously.Drive process improvement initiatives and service excellence through collaboration with key business partners (e.g., Client services, operations, compliance, training, etc.)Keep Manager apprised of any outstanding issues/escalations, provide feedback and department statusIdentify underlying root causes for problems and proactively establish immediate, short and long term solutions.Ensure staff are familiar with and adhering to departmental policies and procedures including those belonging to other departments.Identify potential areas of quality vulnerability and risk to management;  and as appropriate, develop/implement corrective action plans for resolution of problematic issues

 

PROFILE 1:           Education & Training Preferred education is College or University.Broad knowledge of the Canadian Securities Industry, preferably from a Stock   Transfer perspectiveStrong Microsoft Office experience in particular Word, Excel and PowerPointPROFILE 2:           Experience3-5 years of progressively responsible administrative and or supervisory experience in a financial, stock transfer or securities environment.Previous management experience is an assetPROFILE 3:           Decision Making & Problem SolvingThe main tasks are very routine in nature however the frequency of unexpected challenges is high and requires quick decisions that may or may not involve other people. Analytical ability is required as many decision have a direct impact on many other areas within ComputersharesDecision making on issues arising from day-to-day administration; determining which matters should be escalated to ManagerMakes decisions regarding delegation and assignment of work as well as determining overtime requirements.Makes recruiting & staffing decisions as well as completes performance appraisals; finalizes with ManagerPROFILE 4:           Supervisory & Management ResponsibilityResponsible for assigning tasks, providing coaching, regularly training or acting as an adviser to other Computershare employees in the performance of tasks.Directing and coordinating the activities of the administrators; ensuring the accuracy and completeness of the work, motivating employees, attendance tracking, teambuilding as well as participating with the Manager on objective setting, ongoing performance management and completion of annual performance appraisals.Establishes controls to manage risk and Computershare’s exposure to liability and loss.

Co-ordination is a major part of the job.  The position requires co-ordination of activities, information, materials or other resources within a small group of tasks or projects.  The priorities of the job must be continually changed to meet multiple and conflicting demands on the incumbent’s time and effort.The position allows some latitude to decide what is to be done and when the work is to be completed.  Work is performed independently and exercising judgement is an important requirement.  Results are reviewed for overall adherence to client objectives, legal compliance and Computershare policies.The incumbent should seek approval or direction from the Manager on issues not covered under existing policies and procedures with the expectation that they will provide the supporting analysis of the situation and recommendations.

 

 

 

PROFILE 6:           Consequence of Error and Budget ResponsibilitiesFailure to apply the standard policies or to verify the proper documentation has been provided prior to allowing a transaction to proceed could result in substantial financial and/or reputation loss to Computershare.Improper decisions with respect to the acceptability of a transaction may create financial and/or legal liability for ComputershareThe results of the decisions, actions or advice could have considerable consequences or could affect the operations of the unit or departmentAlthough little or no financial responsibility is required to perform the job, the incumbent must perform their duties in an efficient and cost-effective manner.Assist manager in yearly budget planning.

PROFILE 7:           ConfidentialityIncumbent must adhere to Computershare’s “Conflict of Interest Policy”The incumbent has access to confidential client and internal corporate information as part of their function.  Failure to maintain confidentiality  could result in loss reputation to Computershare, loss of  client relationship and legal and or regulatory sanctions.Confidentiality also extends to all staff records such as salaries, evaluations, personal data or anything that cannot be openly discussed with other parties as dictated by our Employee Guiding Principles. PROFILE 8:           Contacts - Internal and ExternalInternal: Client service professionals, branches, management staff, Service Delivery staff, cash management, Computershare Document Services - dailyContact within the organization involves obtaining and providing more complex information and answering questions that require interpretationExternal:Investors, brokers and other members of the financial community and clients - as required.Contact outside the organization involves obtaining and providing routine information and answering straightforward questions.  Communication may require tact. PROFILE 9:           Physical Skill and EffortThis factor describes two elements of physical requirements:The physical effort required to perform the job (e.g. sitting, standing, visual attention, lifting, climbing etc.) and;The physical skills and dexterity required to perform the job (e.g. easy muscular movements, constant speed and dexterity etc.)Considerable sensory attention is required to ensure 100% accuracy of auditing of staff work, processes and procedures.The position requires minimal physical exertion,  with a large percentage of time spent sitting at a desk, with ample opportunity to move around.The position requires intermittent periods of concentration in reading and analyzing a variety of internal/external documents.The work must be completed within the deadlines or time pressures imposed by other persons, events or clients.  The deadlines are frequent and short.  Working under the pressure of time or deadlines is a significant aspect of the job.The position requires the physical dexterity and skills to regularly use a PC (typing/viewing the monitor); otherwise most tasks involve relatively easy muscular movements. PROFILE 10:        Working Conditions Office conditions.The environment is generally comfortable with exposure to normal levels of elements such as dust, with minor fluctuations in heating or ventilationThere is minimal risk of injury to the incumbent.This factor also describes the frequency and distance of travel required in order to perform the job.There is minimal or no requirement to travel.At Computershare we invite you to share our vision and our commitment to excellence in everything that we do.
