Securities Transfer Administrator

Scope of the Position

To ensure that excellent customer service is provided to all shareholders and clients through the up-front review and validation as well as the continued processing or rejection of operational documents. This includes all incoming transfers, account transactions, dividend reinvestment requests, legal inquiries, issuer’s requests and lost certificates. The incumbent will become an expert member of the Operations team, sufficiently cross trained and knowledgeable in all possible transfer, legal or transaction requests.

 

Major Responsibilities

- Review and verify accuracy of source documents (e.g. transfer instructions, legal requests including probate/trust agreements/corporate resolutions/certificate replacement docs, direct credit instructions, Dividend reinvestment requests and optional cash payments etc.).
- Validate to determine if all transactions received are in transferable order or reject the items noting any deficiencies.
- Ensure that all transactions are completed in the time standards required based on regulatory requirements or internal standards. - Research the shareholder’s account and company information to verify the legitimacy of the request before entering the required personal and or financial data.
- Responsible for training new staff to ensure that all regulatory requirements and audit controls are met.
- Responsible for cross-training other specialists to ensure each have a thorough understanding of the various transaction requests resulting in accurate and consistent responses.
- Ensure that volumes are dealt with by assisting the team leader in the monitoring and tracking of outstanding items.
- Must perform routine, specialized or technical tasks, or procedures requiring specialized knowledge of the requirements to transfer securities.
- Provide service that is based on a full understanding of the client’s requests. It is critical to meet those needs with timely as well as accurate advice or service.
- Review and audit items to ensure completeness and accuracy. Consult with Business Solutions Group to evaluate, perform and validate new data entry processes.
- Participate in team discussions reviewing desk operating procedures as well as policies and suggest changes.
- Create invoices for the billing of fees and record cheques received when processing.

Required Skills, Experience & Education

- 3-5 (three to five) years of securities processing related experience and/or training; or equivalent combination of education and experience.
- Intermediate knowledge of: Transfer processing rules, legal transfer requirements, account maintenance transactions, DRIP and OCP processing rules
- Ability to carry out detailed written or oral instructions. 
- Ability to problem solve and troubleshoot effectively
- Must be able to read and comprehend complex material such as instructions, procedure manuals, estate documents, trust indentures, affidavits, letter of transmittals and correspondence.
- Must be able to communicate to others using precise language to avoid misunderstanding of complex information.
- Must be able to communicate advanced levels of information to avoid misunderstanding of complex information. Must be able to use basic arithmetic, established arithmetic formulas or procedures to calculate or prepare information.
- Must be detail-oriented, thorough and consistent with high accuracy and understanding of implications of errors on the business and turn around requirements.
- Post-Secondary Education preferred Canadian Securities Course and/or Trust Institute course preferred
- Intermediate MS Office skills Bilingual, French & English would be nice to have
