Administrator, Operations

Reporting to the Manager, Operations, Plan Managers, the incumbent will be responsible for various trusts and accounting functions, such as input, research/resolve internal inquiries, complete journal entries and forward to Reconciliation and/or Transfer Agent for issuance of cheques, or certificates.

Major Responsibilities

  • Monitor and report incoming funds/update SharePoint logs;
  • Process various journal entries vs. Cosmos Accounts;
  • Process different payments on SCRIP;
  • Process the timely deposit and withdrawal of physical stock certificates;
  • Maintain and log all incoming white mail/fax requests, and input information into SharePoint;           
  • Print, match, complete journal entries for receipt of funds, broker commissions, cheque issuance, etc., and FX conversions and submit for appropriate approvals;
  • May need to prepare appropriate forms to deposit shares into each plan trustee account whereby Computershare is the Transfer Agent;
  • Field internal Client Servicing Team with plan processing questions;
  • Provide monthly statistics on Plans processing to the Manager, Operations;
  • Process requests for the mailing of quarterly statements and annual tax slips;
  • Ability to escalate issues to the Manager, Operations, that require management involvement/decisions;
  • Flexibility to assist in other functions within the department when required;
  • Implement procedures when required;
  • Assist in the training curriculum for new hires;
  • Work with other departments to resolve technical issues with the system;
  • Contribute to projects and tasks related to the Operations team.

Skills and Experience Required

  • Post-secondary courses in Business Administration or related subject would be an asset;
  • Minimum 2 years of basic accounting experience and/or training or equivalent combination of education and experience;
  • Good communications skills in English and French;
  • General stock transfer industry knowledge and Canadian Securities Course would be an asset;
  • Intermediate level experience (or training) on PC applications, such as word processing, Excel, database management software, email, and in-house systems;
  • Experience working with macros is preferred.
